Faculty and Staff Travel Policy

  • All faculty, staff and postdoctoral students must complete the attached travel form and email the completed form to dpowell@iastate.edu .  From there it will go to the department chair (Theresa Windus) and she will review the request. Once she has reviewed the request, Deanna will reach out to you with approval or reasons why it was denied. Note: Theresa has been told that a request through Workday for business travel is not sufficient to meet the travel requirements due to the way Workday works. However, the process described here means that we do not need to do the Workday process.
  • It would be best if everyone can edit the attached PDF and send it back via email as that will help keep things organized and decrease the need for storing paper.

Here are some of the main points to note about the amount of days requested off and how the travel has to be approved:

In the College of Liberal Arts and Sciences, administrative approvals for travel or other absences from campus are handled as follows:

  • Travel/absences up to one week (5 working days) require approval by the department chair. Departments may set their own policies on how to handle such approvals.
  • Travel/absences up to two weeks (10 working days) require approval by the department chair and the dean (or his/her designee). Generally, an informal email to the dean or associate dean is enough. The chair will get the approval of the dean or designee.
  • Travel/absences longer than two weeks (more than 10 working days) require approval from the dean in consultation with the Office of the Senior Vice President and Provost. Such requests must be supported by formal documentation. The chair will work with the traveler to help ensure the proper documentation and approvals are in place.
  • Absences of up to 10 working days should be requested no later than 10 working days prior to the start of the travel or absence; absences of two weeks to one month should be requested no later than one month prior to the start of travel.
  • International travel requests must be accompanied by a screen shot or message that states that International Travel Registration has been completed. Follow the instructions at this website: https://www.riskmanagement.iastate.edu/international/international-travel-registration

**You will still need to request in Workday for regular sick days and vacations as we normally would.**
