How to Use the Catalog

Editor's Note: We hope to eventually have our inventory and ordering capability "on-line". For now, we hope the instructions on how to use the catalog will be of benefit to you.

The catalog is divided into two major groups and eleven sub-groups using the first two digits of the inventory number. The major classifications are Chemicals(10 Series), and Glassware and Apparatus (20 Series). These groups are subdivided into the following sub-groups:

21 General Glassware & Supplies

24 Miscellaneous

The stock items within each section are listed alphabetically and the last four digits of the Stock number are assigned numerically.

We hope that this catalog is easy for you to use. Any suggestions you may have will be appreciated.

Introduction

In order that you may make better use of this new catalog, we feel that it is necessary to point out a few items of special interest.

Please note that the items have a seven digit stock number. All stock numbers have a letter locator. Please use this stock number at all times with the letter locator. The stock number will enable us to give you faster, more efficient service. A large number of miscellaneous, unrelated items are included in the category "Miscellaneous." These items are listed alphabetically.

Items which do not appear in the catalog - -

An attempt is made to keep a reasonably complete line of catalogs and literature in the Chemistry Stores Office. A "special order" area will be maintained in the office area, Room 1351 Gilman Hall. If you send in your order by campus mail, please give delivery instructions and a phone number for quick reference if more information is needed.

New Products

We are willing to add new products as requested. If we do not carry what you need, fill out the form entitled "Request to Stock". Forward the form to the Chemistry Stores office. If the anticipated demand is sufficient, the item will be added to our inventory stock. Be sure to indicate any possible vendors and be as accurate as possible on product specifications. If the product is available from a contracting vendor, we will suggest their products but will obtain your approval prior to ordering. If your estimated demand is not sufficient to warrant stocking the item, we will attempt to work closely with you to assure that the item is special ordered in time for your use.

Large Purchases

If you need a large quantity of any stock item, please call us before ordering. We prefer to special order any unusually large quantities and may be able to lower your cost.

Billing

Departments will receive a semi-monthly computerized billing with current prices. It is impossible for Chem Stores to verify account numbers on charges prior to posting. It is our policy to correct any errors made by Chem Stores personnel. Other errors can be corrected by your department with a Correction Voucher.

Delivery Policy

Chemistry Stores, in cooperation with Central Stores, offers a free delivery system as an additional safety factor in the transporting, handling, and storage of chemicals at Iowa State University.

I. Chemicals

  1. Hazardous chemicals are those chemicals which require special care in transport and handling. This includes, but is not limited to, carcinogens, acids, corrosives, oxidizers, poisons, and flammables.
    1. Small quantities can be hand carried in approved safety carriers.
    2. Users with approved vehicles can transport their own chemicals. Approved vehicles must meet the following criteria:
      1. The cargo area and passenger area must be completely separated.
      2. Provisions must be made to secure the cargo to prevent shifting.
    3. Delivery by Chemistry Stores.

  3. There will be no charge for delivery of hazardous chemicals to university docks.
  4. Delivery will be made on a Tuesday, Friday schedule. The cutoff is the preceding day at 12:00 noon. Orders will be delivered as per delivery schedule and emergency orders will be considered on an individual basis and delivered by Central Stores at their standard rate.

II. Non-hazardous chemicals, glassware & apparatus

  1. Glassware & apparatus will be delivered free if the total weight exceeds 50 pounds. Items under the above limits can be delivered for a $20.00 fee or transported in any vehicle. Any order which includes hazardous chemicals will be governed by Section I.

Compressed Gas Orders

Chemistry Stores has available a centralized special or mixed gas ordering system. All compressed gas orders are to be processed through Chemistry Stores. By consolidating orders and empty cylinder returns, significantly lower freight costs will be seen. Companies under contract with us are:
Linweld, Matheson Trigas, Praxair, Spectra Gas.

Standing Orders

Chemistry Stores accepts standing orders which will allow you to order chemicals and glassware without an intramural purchase order. We will need an intramural purchase order to set up your standing order. We need the following information:

  1. Department name and account number.
  2. Authorized users.
  3. Expiration date.
  4. Billing address.

Upon receipt of the above, we will issue you a standing order number which must be used on all orders. Standing orders must be renewed each July 1.

Standing orders cannot be accepted with dollar limitations. You will be responsible for cancelling a standing order and correcting charges.

Call-in orders will be accepted for stock and non-stock items. You must provide the correct catalog numbers. For more than 5 items, please fax or mail your list to our office at 1351 Gilman.

You will be responsible for costs if an order error is made by you. If you change your mind and we cannot cancel your order, a handling fee will be added.

Computerized Ordering

We have on-line ordering capabilities with Fisher Scientific, VWR Scientific, Aldrich Chemical Co., Sigma, and Ace Glass Inc. This system reduces the order/delivery time of non-stock items and large purchases of stock items. We can also obtain prices and availability data on all items.
