We accepted proposals for workshops from March 1, 2003 until December 12, 2003. We are at our limit for workshops. We are not accepting any more workshop proposals. The 18th BCCE program committee is dedicated to serving the needs of the participants of the 18th BCCE. We will offer workshops at the lowest possible cost to the partcipants. After talking with workshop leaders and workshop participants at the Chem Ed 2003 Conference at Auburn University, we will not assess an administrative fee for workshops that are "no load" or "low load"/"self contained" workshops. Workshops are an important part of the Biennial Conferences on Chemical Education, but the workshops do drain the resources and time of the BCCE committee and the host department. After consulting with the Division of Chemical Education's BCCE oversight committee, and with previous BCCE General Chairs and Workshop Chairs, we have implemented a set of rules and guidelines for doing BCCE workshops. Please read these rules and guidelines.

We are now in the process of incorporating your workshop descriptions in our 18th BCCE registration book and on the 18th BCCE web site. DO NOT MAKE ANY CHANGES to your workshop proposal. At this point, your changes will not be incorporated where it matters.

Rules and Guidelines for Leading a Workshop at the 18th BCCE

1. All workshop leaders and co-leaders must pay the 18th BCCE registration fee.

2. All workshop participants must pay the 18th BCCE registration fee.

3. In order for a workshop leader to be reimbursed for the expenses asociated with delivering the workshop, the workshop leader must submit receipts for materials, etc. to the 18th BCCE committee. Workshop leaders may not charge the 18th BCCE or their workshop participants expenses associated with the leader's travel, lodging, food or 18th BCCE registration fee. Workshop leaders will not be reimbursed by the 18th BCCE for any of these or other personal expenses.

4. Workshop leaders are responsible for arranging for all of the materials (hand-outs, activities, etc.) necessary for the workshop to arrive in the Department of Chemistry at ISU by July 2, 2004 - two weeks prior to the start of the BCCE. Workshop materials need to be sent to the following address: Prof. Joe Burnett, c/o 18th BCCE Workshop #XX, Department of Chemistry, Gilman Hall, Iowa State University, Ames, IA 50011-3111. We recommend that you send material using Registered U.S. mail, FedEx, or UPS so you can track the package yourself.

5. Workshop leaders are responsible for arranging for all materials (hand-outs, activities, etc.) left-over from the workshop to be shipped back to their institution, home, company, etc. Please have pre-paid US Mail, UPS, FEDEX, etc. mailing labels prepared prior to coming to the 18th BCCE. Materials left at ISU will be disposed of.

6. Workshop leaders are responsible for the preparation of all materials (hand-outs, activities, etc.) necessary for the workshop. The 18th BCCE will provide a preparation area. The workshop preparation area will be available on Saturday, July 17, 2004 1:00 pm.- 5:00 pm. We will post hours of operations of this room for other days of the 18th BCCE. If you need to make copies of hand-outs there is a 24 hour Kinkos located in Campus Town -adjacent to the campus. Workshop leaders are responsible for returning the room they are using in good, clean condition at the end of their workshop.

7. If a workshop involves chemicals, workshop leaders are responsible for the preparation and proper disposal of all chemicals necessary for the workshop. The 18th BCCE will provide a chemical preparation area for you to prepare your chemicals. We will provide student help and we will provide consultation with our chemical demonstrator. The workshop chemical preparation area will be available on Saturday, July 17, 2004 1:00 pm.- 5:00 pm. We will post hours of operations of this room for other days of the 18th BCCE. For example, balances, common general chemistry glassware, deionized water, paper towels, 6M HCl, 6M NaOH, acetone, ethanol, etc.(a more detailed list will be developed). If youi provide us with a list of materials and equipment needed well in advance of the worshops, we will TRY to accommodate your request. Workshop leaders will follow the same rules and guidelines for working with chemicals as the chemical demonstrators. If a workshop leader needs an expensive or unusaul chemical and if ISU Chemistry Stores has it available, the chemical may be purchased from the ISU Chemistry Stores. The workshop leader will need to show their Faculty Identity Card from a reputable institution. Chemistry Stores may be open on Saturday afternoon during the BCCE workshop preparation. Workshop leaders working with chemicals may have to attend a mandatory Chemical Safety and Chemical Disposal meeting Saturday evening.

8. If a workshop involves loading a computer program and or downloading plug-ins, the software must be sent to the Department of Chemistry at ISU by June 14, 2004 - one month prior to the start of the conference. Send your software to: Mr. Steve Heideman, c/o 18th BCCE Computer Software, Department of Chemistry, Gilman Hall, Iowa State University, Ames, IA 50011-3111. Please do not have us violate any copyreight laws if you need to run individual programs on our computers. Either have a site license or legal copies for all programs.

Workshop leaders who are using computers, software, and multi-sync projectors should plan to arrive on campus by Saturday morning, July 17th, in order to test and trouble shoot their software, computers, and multi-sync projectors. If you have a Sunday morning wrokshop, you should plan on arriving on Saturday in ordre to prepare your workshop.

9. If a workshop leader needs to purchase supplies or materials from K-Mart, Wal-Mart, Hobby Lobby, Sears, Hy-Vee (Food Store), etc. there will be a van that will transport the workshop leader to K-Mart, Wal-Mart, Hobby Lobby, Sears, Hy-Vee (Food Store). The van will make one run late Saturday afternoon, July 17th, one run late Sunday afternoon, July 18th, and one run late Monday afternoon July 19th. The workshop leader is responsible for paying for the needed supplies.

10. You will be informed of the day and time of your workshop sometime late March or early April, 2004. You will be informed of the number of registered participants for your workshop somtime between June 5, 2004 and June 18, 2004, when dvance registration for the conference closes.

11. The 18th BCCE committee will provide some student helpers to assist the workshop leaders with reasonable tasks associated with unloading equipment & material from a van, setting-up & taking down workshops, loading equipment and materials to a van if a request is made to have student helpers. Carts will be provided.

12. We have received more requests for the use of multi-sync projectors and computers for workshops and symposia than we have within the resources of the Chemistry Department (the request is for the simultaneous use of 30 multi-sync projectors on Monday - Wednesday of the conference). Therefore, we have had to make the decision to use some of our limited funds to rent multi-sync projectors, and the audio-visual service that supports them, for the 14 simultaneous symposia sessions that occur from Monday - Wednesday of the conference in the Scheman Building. Unfortunately, this means we do not have the additional resources to provide multimedia support for workshops that will be held in our teaching laboratory rooms or small classrooms. If your workshop is scheduled in a lecture hall or classroom with a computer, DVD player, multi-sync projector, and internet connection, you will be informed that you can use these resources. Otherwise, the workshop organizers are responsible for a) bringing their own multi-sync projector and computer or borrowing this equipment from a colleague who will be attending the conference or b) paying the rental fee for the use of a multi-sync projector ($66.67 per day, includes service). You may build in the charge of the multi-sync projector to your workshop registration fee.
