Approximately 1500 participants are expected at the 18th Biennial Conference on Chemical Education (BCCE) to be held at Iowa State University, Ames, Iowa July 18 - July 22, 2004. The BCCE is an official meeting of the Division of Chemical Eduation of the American Chemical Society. It draws the most proactive educators responsible for purchasing products and services for their K-college chemistry classrooms and labs. The exhibition will provide your company with an opportunity to display your products to a group that is interested in improving their teaching of chemistry and providing effective learning opportunities for their students. The BCCE has been held at Purdue University (1988), Georgia Tech University (1990), The University of California - Davis (1992), Bucknell University (1994), Clemson University (1996), University of Waterloo (1998), The University of Michigan (2000), and Western Washington University (2002). The 19th BCCE will be held at Purdue University, West Lafayette, IN, Summer, 2006.

The following general arrangements have been made for exhibitors:

1. The exhibit area will in the Scheman Continuing Education Building in the Iowa State Center on the first and second floors. Exhibit booths are located adjacent to conference areas that will host about 60% of the meeting sessions. The exhibit area is located in the same area as the 18th BCCE Registration Desk.

2. The following items are included with an exhibit booth:

a. Equipment: one 30" x 72" table, two chairs, access to an electrical outlet (110-120 volts), a wastepaper basket, booth piping and bunting (side drapes and back drapes) and a sign. Your booth floor carpet area will be vacuumed once or twice. You will have general overhead illumination or daylight from a nearby window. We have placed digital images of typical exhibition booths and the space we will be using in Scheman Building on our 18th BCCE web site.

b. Registration: three 18th BCCE exhibitor's registration badges for employees of the exhibitor working at the booth on a given day. A booth exhibitor may request additional registration badges for different individuals to work at the booth on different days, so long as there is no intent to by-pass the registration fee for the conference. Exhibitors are encouraged to attend plenary sessions, paper presentations, tours, and the posters sessions as their schedule permits. Please note that if an exhibitor is presenting more than one paper or a poster, he or she must register as a participant.

You may have registered 18th BCCE participants working in the booth.

c. Food and Beverages: free coffee and non-alcoholic beverages will be available continuously while the exhibits are open. Free food will be available in the morning and in the afternoon while the supply lasts. The food and beverages will be free for exhibitors and registered conference participants.

d. Free parking in the lots adjacent to the Scheman Building and Hilton Coliseum.

e. Student helpers assist you in unloading exhibitor equipment from your van or truck and in moving the equipment to your booth area. At the end of the exhibition, they will assist you in getting your exhibitor equipment from the booth to your van or truck. Student helpers will not un-pack or pack equipment, nor will they set-up or take down your booth.

f. Security: ISU/18th BCCE will provide overnight security for the exhibit area. The Scheman Building will be locked at night. The Scheman Building is reserved for the use of the 18th BCCE Sunday evening through Thursday morning.

g. Your company's name and booth number will be listed in the 18th BCCE Program Book. The program Book will have a map of the Exhibition with booth numbers and Company names. Your company's name and booth number will be listed on the 18th BCCE Exhibitors web page.

h. Two copies of the 18th BCCE program book.

i. Limited morning and late afternoon 18th BCCE Bus Shuttle Service or van shuttle service from the Hotel at Gateway Center to the Scheman Building.

j. Access to Free Cy-Ride 18th BCCE Bus Shuttle Service on-campus to the 18th BCCE Conference Buildings (3 passes).

k. Meeting areas next to the Exhibition to talk with clients.

l. Each booth will have a number and a sign.

m. Exhibitors are encouraged to communicate with the Exhibit Chair with respect to what companies they prefer their booth to be next to or not next to.

3. Booth space will be assigned on a priority basis by data of receipt by the 18th BCCE Conference Office of a signed contract and full payment. Assignment of booth space is also done at the discretion of the 18th BCCE Exhibits Chair and the 18th BCCE General Chair.

4. Exhibitors may set-up their booths from 2:00 pm until 6:00 pm Sunday evening, July 18, 2004 and/or from 8:00 am until 9:10 am Monday morning.

Exhibitors must have their booths open and staffed during the Exhibition Hours. The 1st and 2nd Floor Lobby areas in Scheman are BCCE participant accessible when the building is open. The Scheman Building is reserved soley for the BCCE Sunday evening through Thursday morning. The building will be locked at night and a security guard will partrol the building all night.

 

Monday. The Exhibition will be open on Monday from 9:30 am - 4:15 pm and from 7:00 pm until 9:00 pm. There will be a SciMix style Poster Session in the Scheman Building on Monday evening from 7:00 pm until 9:00 pm. The Poster Session rooms are near the Exhibits. Monday night is also Hawaiian Island shirt night. All BCCE participants and exhibitors are required to wear an appropriate tropical theme or flowered theme shirt.

Tuesday. Exhibits will be open on Tuesday from 9:30 am until 4:30 pm. The 18th BCCE conference banquet will be Tuesday evening in Hilton Coliseum. The Scheman Building will be closed on Tuesday at 4:30 pm.

Wednesday. The Exhibits will be open Wednesday from 9:30 am until 3:00 pm. Exhibitors can take down/dismantle their booths from 3:00 pm until 6:00 pm on Wednesday, July 21, 2004 (please do not dismantle your booth before 3:00 pm).

5. Shipping and Handling Procedures

Exhibitors may send equipment and materials directly to the Scheman Building two weeks prior to the Conference. Equipment and material may arrive as early as July 2, 2004, but must be received by Friday July 16, 2004. The shipping address is:

Please have pre-printed return address labels and pre-paid UPS, FEDEX, etc. shipping contracts ready to use to ship our equipment back to your company, home office, or the next conference.

6. In the event of fire, strikes, electrical black-out, stampede, or other uncontrollable circumstances rendering the Exposition area unfit or unavailable for use for a significant amount of time, this contract will not be binding, and a refund for the portion of the time unused shall be made.

7. Cancellation cannot be honored unless the 18th BCCE is able to resell the space. Canceled space will not be resold until all space for the Exposition has been sold.

Additional points

8. Exhibitors are encouraged to advertise in the conference program book. Page dimensions are 8.5" x 11" with a 0.5" border. Please send camera ready copy in the proper aspect ratio. The fee is $150 for a quarter page ad, $275 per half page or $400 per full page. The deadline for copy is March 5, 2004.

9. Exhibitors are encouraged to advertise on the 18th BCCE web site. We will place your company's name, logo, address, phone number, brief product message, and include a link to your web site for $100. The deadline for receiving electronic image files (.pdf, .jpeg, .gif) suitable for posting on our web page is March 5, 2004.

10. Exhibitors are encouraged to submit equipment and materials for the "Daily Raffle Prize".

11. Exhibitors are encouraged to attend the 18th BCCE Tuesday Night Banquet and Chemical Demonstration Show in Hilton Coliseum, any of the Tours, and the Social Events.

12. Please consider becoming an official Sponsor of the 18th BCCE. Support levels include sponsorship at the Platinum, Gold, Silver, and Bronze categories. We welcome your inquiries.
